POSITION OBJECTIVE:

Provide high-level administrative support to the CEO, CFO, General Counsel, and other Executive Team members. Reporting directly to the Office of Resource Management, this role provides executive support in one-on-one working relationships. Serves as a liaison to the board of directors; organizes and coordinates executive outreach and external relations efforts, and oversees special projects. Provide support to both internal and external parties with a high level of professionalism and in a manner that reflects positively on NINGBO YUANYI.

POSITION RESPONSIBILITIES:

Manage sensitive matters with a high level of confidentiality and discretion. Prepare Word, Excel, PowerPoint presentations, agendas, reports, special projects, and other documents in support of objectives for the organization. Draft and prepare correspondence for internal announcements, board meetings, and organizations that the executive is involved with.

Represent the company and the Executive in a positive light through great follow-through skills and sound judgment.

Organize complex calendars and schedules; resolving any scheduling issues.

Present a professional interface for internal and external clients of the Executive team. Acts as point of contact and direct requests to the correct individual.

Calendar and mail management for the CEO, CFO, and General Counsel. Manage meeting requests, resolve calendar conflicts, clarifying priorities as needed.

Coordinate travel arrangements. Book travel and submit expense report. Coordinate meetings, assist with agenda setting, scribe meeting notes as requested, coordinate, and ensure audio/visual set-up.

Order supplies as needed. Maintain department purchasing card and meeting card.

Coordinates on and off-site meetings, presentations, workshops, and conferences. Distributes materials and perform set-up.

Performs administrative functions such preparing and distributing periodic reports, maintaining meeting room schedules, updating reference information.

Reconcile and maintain financial records related to administrative expenditures.

Acts independently to administer and communicate corporate policies and procedures, handling uncommon situations through interpretations of office guidelines and administrative practices.

Establishes and maintains databases, correspondence and standard work needed for day-to-day communications, meetings, and presentations. Other duties as assigned or apparent.

POSITION REQUIREMENTS:

Bachelor's degree or an equivalent combination of education and experience. Five years of administrative assistant experience. Experience providing support in a publicly listed manufacturing organization strongly preferred. Event planning experience.

Highly developed written and verbal communication skills. Strong organizational skills.

Ability to work flexible work hours as needed.

Advanced Proficiency in MS Office to include Word, Excel, Outlook, and PowerPoint.

Experience with SharePoint, especially creating and managing SharePoint sites.

Process-oriented with the ability to rapidly learn new systems and software. Ability to handle confidential information.

Must demonstrate initiative and ability to anticipate and problem solve independently and with a sense of urgency.

Strong interpersonal skills with the ability to interact professionally with all levels of NINGBO YUANYI.

Must be creative and enjoy working within a quickly growing organization. Able to exercise good judgment in a diversity of situations, with strong written and verbal communication, administrative, and organizational skills, and the ability to maintain a realistic balance among multiple priorities.

Aptitude for general business, finance, and legal work. Able to learn and understand company and industry requirements and apply that understanding to goals and job tasks.
